Custom PRD Build: Practical Tips and Common Mistakes

Reviewed by the OnlineFree.app team · Updated

Key points

  • Custom PRD build converts rough product notes into a sectioned, copy-ready requirements document inside your browser.
  • A PRD that opens with features instead of a problem gives engineers nothing concrete to push back on.
  • Number every requirement so reviewers can comment on R7 rather than quoting a whole paragraph.
  • Replace adjectives like fast or intuitive with thresholds a tester can actually measure.
  • The tool structures your thinking; it cannot supply user research or verify your numbers.

What does Custom PRD build produce?

Custom PRD build turns a rough product idea — a paragraph of notes, a one-line pitch, a thread of half-decisions — into a structured, copy-ready product requirements document, and it does the whole job in your browser. You type the idea, the tool shapes it into labeled sections, and you leave with plain text you can paste into Notion, Confluence, or a ticket tracker.

The structure is the part that matters. The output is organized the way engineers and reviewers actually read: a problem statement, target users, goals and non-goals, numbered functional requirements, acceptance criteria, and a list of open questions. Requirements carry IDs (R1, R2, R3…) so a reviewer can comment on R7 instead of quoting an entire paragraph back at you.

We built it for the gap between a pitch deck and a sprint plan — the moment when "we should make onboarding better" has to become something a developer can estimate and a tester can check. If you want the same document generated from a longer brief, the Custom PRD build tool page is the starting point; the sibling Custom PRD build page covers the variant workflow.

Write the problem statement before features

Most weak PRDs are feature lists with a title on top. They open with "we will build X, Y, and Z" and never say what breaks if none of it ships, which leaves engineering nothing to argue with and product nothing to defend when the scope gets squeezed.

Compare "add CSV export" with "finance analysts re-key a few hundred invoice rows into a spreadsheet every Monday because the app has no export, which costs them most of a morning and introduces transcription errors." The second version lets a developer ask whether a scheduled email would be cheaper than a button, and lets a designer ask what the export should contain. That is the conversation a problem statement is supposed to trigger.

Spend your first two minutes on that paragraph, then let the rest of the document follow it. Ambiguity in the problem statement spreads downward — every requirement built on a vague premise inherits the vagueness, and you find out in review, not in draft.

How detailed should each requirement be?

One behavior per requirement, one testable outcome per acceptance criterion. If a sentence needs the word "and" three times, split it — "users can filter by date and save the filter and share it" is three requirements wearing a trench coat, and they will ship at three different times.

For a first release, 10 to 25 numbered requirements is a workable range. Fewer usually means you have hidden decisions in your head; far more usually means you are specifying implementation detail that belongs in a design doc. Each requirement should be something one engineer could plausibly finish and one tester could plausibly verify in a sprint.

Watch for requirements that smuggle in a solution: "the system shall use a Redis cache" is an architecture decision, while "repeat searches return in under 300 ms for a 10,000-row catalog" is a requirement the team can meet several ways. Let the constraints live in a separate section so they are visible rather than buried in a sentence.

Common mistakes that make a PRD unusable

The biggest one is unmeasurable adjectives. "Fast", "intuitive", "scalable", and "modern" cannot be tested and cannot be argued against, so they quietly become whatever shipped. Replace each with a threshold: a page that renders in under 1.5 seconds on a mid-range phone, a flow that completes in three taps or fewer, a table that stays responsive at 50,000 rows.

The second is missing priority. Without a ranking, everything in the document reads as mandatory and the first schedule slip becomes a negotiation over vibes. Tag each requirement P0 (release blocker), P1 (next), or P2 (later), or use a documented scheme such as MoSCoW prioritisation — just pick one and apply it consistently.

The third is leftover scaffolding. A document that still contains "TBD", "[insert metric]", or "owner: ?" is a draft pretending to be copy-ready. Convert every unknown into an explicit open question with a name against it, because a question with an owner gets answered and a placeholder gets ignored.

What the tool deliberately does not do

Custom PRD build cannot know your users, your constraints, your legal review, or your boss. It will not validate that anyone wants the feature, and it cannot replace twenty minutes with support or sales. Treat the output as a first draft with good bones, not as evidence.

The numbers deserve particular caution. The tool will format a conversion target or a latency budget beautifully whether or not that number came from anywhere real, so sanity-check every figure against your own analytics before the document leaves your screen. Where you are guessing, write "assumption" next to it — reviewers trust a labeled guess far more than an unsourced fact.

For the underlying vocabulary of what belongs in a requirements document, the software requirements specification overview is a reasonable reference. Keep the finished document somewhere your team actually reads, and expect to revise it after the first estimation session. More free browser tools sit alongside this one on OnlineFree.app.

Frequently asked questions

Is Custom PRD build free, and do I need an account?

Custom PRD build runs in your browser on OnlineFree.app as a free online tool, so there is nothing to install and no account to create before you start. Because the output is plain structured text, you copy it straight into whatever editor your team uses. Check the tool page for any current limits before relying on it for a large batch of documents.

How long should a PRD from Custom PRD build be?

For a single feature, aim for one to three pages with roughly 10 to 25 numbered requirements. That length keeps the problem statement, non-goals, and acceptance criteria visible without turning the document into a specification nobody finishes reading. If it runs much longer, move implementation detail into a separate technical design document.

Can I paste the Custom PRD build output into Jira or Notion?

Yes. The output is plain text with labeled sections and numbered requirement IDs, which pastes cleanly into Notion, Confluence, Linear, or a Jira description. Headings and bullets usually survive the paste; tables may need a quick reformat. Review the numbering after pasting so that reviewer comments still point at the right requirement.

Does it work for non-software products?

Yes, with small edits. A physical product, a service change, or an internal process still needs a problem statement, a target user, numbered requirements, and acceptance criteria. You may want to swap testing language for manufacturing or operations language, but the structure and the discipline of one behavior per requirement carry over unchanged.

What if I do not know the success metrics yet?

Leave them as an explicit open question with an owner and a due date rather than inventing a number. A placeholder like "TBD" hides the gap, while "open question: target activation rate, owner: product lead, due Friday" makes it visible and actionable. Verify any metric you do include against your own analytics before sharing the document.
